The Challenge

Signals everywhere. Clarity nowhere.

Gainback gives restaurants, hotels and local businesses the marketing tools that used to belong to large chains: digital stamp cards, loyalty programs, giveaways and surveys. The company that sells clarity about customers had none about its own market: who exactly buys, what the market wants and why anyone stays.

At this stage, a wrong answer costs runway. Demo calls, onboarding conversations, support messages, feature requests, usage patterns, the reason behind every deal won and lost, each one carried a clue. None of them added up to a picture, and there was no research team, no capacity for the manual work of reading it all and no time to build either.

"As an early-stage startup, you drown in signals. Primefold XI turned them into decisions."

Nobody at Gainback had done this before. There was no research function to inherit and no budget to hire someone, so the real choice was between deciding on instinct and building the system while still selling. For a large company, customer intelligence is an optimization project. For a startup it is navigation. Now every theme in a report keeps the responses behind it, so a claim about the market traces back to the customer who made it.

Selling a product built on loyalty is supposed to mean knowing why people come back. For a team whose evidence lived in five inboxes and two founders' heads, that knowledge stopped at whoever happened to remember it.

The Solution

The system went live while the company was still selling.

Gainback partnered with Primefold early, before there was much of a customer base to survey. The rollout took the customer journey as it already existed and gave every stage of it a place to answer: the first demo, the onboarding check-in, regular strategy calls, in-product flows, automated surveys, support follow-ups and the moment a customer renews or leaves.

The human touchpoints turn conversations that used to evaporate into recorded, analyzable signal. The digital ones sit inside Gainback's own stack, so the implementation left nobody a new tool to log into, and the automation collects whether anyone remembers it or not.

One straight line from a customer's voice to the roadmap.

Strategy calls run on a fixed cadence, the in-product and support touchpoints are continuous, and all of it lands in Experience Intelligence. Sunday reads the open text and returns themes, sentiment and the strongest drivers in minutes instead of days, and in the voice of the customer. What comes out splits three ways: what to fix in onboarding, what to build next and which segment to sell to.

Because every touchpoint reports into the same view, an answer from a support thread and an answer from a lost deal can be compared rather than argued about. Customer retention became a managed number rather than a hope, and a churn rate you can explain is one you can act on. Growth stops depending on who remembered which conversation.

What surprised Gainback

Three things the pipeline never said.

1

Who the ideal customer actually was.

Every founder can describe their ideal customer. The description is usually built from the loudest conversations, because that is the evidence within reach. Answers and usage across segments replaced it with an ideal customer profile that holds up: which segments show the fastest adoption, which stay longest and which grow. Sales and marketing now aim at that instead of at the whole market.

2

Products the whiteboard never proposed.

Customers said which features created the most value for a café or a hotel, where onboarding produced friction and which use cases turned a trial into a customer who stays. That went straight into the roadmap, including new digital products that exist because the data asked for them. Product-market fit is easier to find when the market keeps telling you where it is.

3

Proof, not a pitch.

Gainback's own product produces loyalty and engagement data for the businesses that run it. With that data in one place, the team can show a prospect what the product did for businesses like theirs, in numbers rather than in promises. Most companies this young have a deck instead.
